A guide to preparing a clear collections report for finance

A good collections report answers only three questions: what was due, what was collected, and what is late and why. Everything else is detail that can come later.

Lead with the summary

The first page should carry total due, collected, arrears and collection rate. Finance needs the whole picture before descending to unit or client level.

Separate late from defaulting

A payment a week late is nothing like one ninety days late. Separating them prevents overstating risk and points your team at the cases that genuinely need work.

Attach context to the number

Next to each arrear, add the last contact with the client and the agreed next step. A number alone creates anxiety; a number with context leads to a decision.

A report that can be read in three minutes and acted on beats a comprehensive one that gets printed and never opened. Clarity matters more than completeness here.
