From Excel to a unified system: how to know when it's time

Excel is an excellent tool, and plenty of real estate companies have grown on it. The problem is not the file itself — it is the moment your operation outgrows what a single file can carry.

The signs it's time

Multiple copies of the same file, numbers that disagree between departments, a simple report taking hours, and everything depending on the one person who understands the formulas.

Migrate in stages

Don't move everything at once. Start with projects and units, then clients, then payment plans and payment history. Review each stage before moving to the next.

Keep your export

A good system doesn't lock you in. Make sure you can export any table back to Excel whenever you want — it lowers your team's resistance to the change and keeps your options open.

A successful migration is less a technical project than a data tidy-up. Organise the data first and the system simply becomes a better place to view it.
